These Terms & Conditions apply to publication requests, publication services, packages, additional services, and payments made through Sanctuary Village International Ministry

By submitting a publication request or making a payment for publication services, you confirm that you have read and agree to these terms.

1. Publication Services

Sanctuary Village International Ministry provides publication-related assistance that may include:

• Manuscript assessment and review
• Writing and development assistance
• Editing and proofreading
• Translation and language services
• Book formatting
• Cover design
• E-book publishing
• Print book publishing
• Publishing and distribution assistance
• Marketing and promotion
• Publication consultation
• Other agreed publication-related services

The exact services provided will depend on the package or additional services selected and any project-specific agreement made with the author.

2. Publication Request

Submitting a Publication Request does not automatically mean that your project has been accepted for publication or that publication work has begun.

A submitted request allows us to review your project, understand your needs, and communicate with you about the appropriate publication process.

Additional information or materials may be requested before work begins.

3. Publication Packages

Publication packages provide the services described for the selected package at the time of purchase.

The scope of each package may vary depending on the type, size, condition, language, and requirements of the publication project.

Where a project requires work outside the selected package, additional services may be discussed with the author before additional charges are applied.

4. Additional Services

Additional services may be selected during the payment process.

Where an additional service has a fixed published price, that price will apply according to the service selected.

If the actual requirements of a project are substantially different from the standard service, we may need to discuss the scope and any additional cost with the author before proceeding.

No additional charge should be treated as approved unless it has been communicated to and accepted by the author.

5. Author Ownership and Rights

The author remains responsible for the ownership and legal rights of the material submitted.

By submitting a manuscript, writing, testimony, teaching, image, audio, video, artwork, or other material, you confirm that:

• You have the right to submit the material;
• You have obtained any necessary permissions;
• The material does not knowingly infringe another person’s copyright or other rights;
• You are responsible for the accuracy and legality of the content you provide.

Publication assistance does not automatically transfer copyright or ownership of your work to Annet Birungi Petch Books.

6. Content Review

We may review submitted material to determine the type of assistance required and whether the requested publication service can reasonably be provided.

We reserve the right to discuss, delay, decline, or discontinue a project where there are legal, copyright, technical, ethical, or other substantial concerns.

7. Payment

Payment is required according to the package or services selected through the payment form.

Payments may be processed through PayPal or another payment provider made available on the website.

A payment confirms your request to begin the selected service. It does not mean that every possible publication requirement is automatically included.

8. Refunds and Cancellations

Because publication services may involve time, preparation, review, design, editing, formatting, translation, or other work, refund eligibility may depend on whether work has already started.

If you wish to cancel a paid service, please contact us as soon as possible.

Where work has already been completed or substantially started, the amount refundable may be affected by the work already performed and any non-refundable third-party costs.

Any applicable refund will be considered according to the circumstances of the project and the services already provided.

9. Project Materials

The author is responsible for providing accurate and usable materials.

Delays in providing manuscripts, corrections, approvals, images, information, or other required materials may affect the publication timeline.

We are not responsible for delays caused by missing, incomplete, inaccurate, or late materials supplied by the author.

10. Editing and Author Approval

Editing, proofreading, formatting, translation, and design are intended to assist in preparing a publication.

The author remains responsible for reviewing and approving the final content of their work before publication.

Where a final approval is requested, the author should carefully review the final material before giving approval.

11. Publishing and Distribution

Where publishing or distribution services are included, the actual availability, pricing, formats, territories, platforms, and timelines may depend on the publishing or distribution provider used.

Third-party platforms and service providers may have their own terms, requirements, fees, policies, and technical limitations.

We cannot guarantee a particular sales volume, number of readers, ranking, review, or financial result from publication or marketing services.

12. Marketing and Promotion

Marketing and promotional services may include activities such as promotional graphics, social media content, book announcements, or other agreed promotional assistance.

Marketing services do not guarantee sales, readership, reviews, media coverage, or other specific results.

13. Publication Timeline

Publication timelines vary depending on the project, the services selected, the amount of material, revisions, author approvals, translation, design, printing, distribution, and third-party provider requirements.

Any estimated timeline is therefore an estimate and not a guaranteed publication date unless expressly agreed otherwise.

14. Communication

We may contact you using the email address, phone number, or WhatsApp number provided in your submission.

You are responsible for ensuring that your contact information remains accurate and accessible.

15. Privacy

Personal information submitted through publication forms is handled according to our Publication Privacy Policy.

By using our publication services, you acknowledge that you have had an opportunity to review the applicable privacy information.

16. Changes to Services and Terms

Publication services, package descriptions, prices, and these Terms & Conditions may be updated from time to time.

The terms applicable to a paid service will generally be those presented to you at the time you make your purchase, subject to any specific agreement made for your project.

17. Limitation of Responsibility

We will make reasonable efforts to provide the services that have been selected and agreed upon.

However, we are not responsible for circumstances outside our reasonable control, including failures or delays caused by third-party publishing platforms, payment providers, printing companies, distribution services, internet services, or other external providers.

18. Agreement

By submitting a publication request or making a payment for publication services, you confirm that:

• The information you provide is accurate to the best of your knowledge;
• You have the right to submit the materials you provide;
• You have reviewed the selected services;
• You agree to these Terms & Conditions;
• You agree to the applicable Privacy Policy.
